Organization Tips for RFP Season...and Beyond

It's that time of year again: RFP season. Many of your groups may be going out to bid for dental and
vision benefits. It's a lot of work and a lot to keep track of. And, you have a lot on your plate already.

How can you stay organized with all the papers flying across your desk? Here are some tips to keep you sane--and organized--during RFP season...and beyond!

1. Say NO to Junk

You've probably heard the rule of thumb about paring down your closet and dresser drawers: if you haven't worn it within the last year, put it in the donate pile. The same can be said for your paperwork and emails. You can make a “chuck it” pile, a “file it” pile and a “gotta do it now” pile. Chuck the brochure from that convention five years ago. File that copy of your client's annual report. The PowerPoint you have to give in a few days? Might want to keep that nearby.

2. Don't Overthink your File-It Pile

Try to get through the pile as quickly as you can--without spending a ton of time on creating the perfect filing system. That's a time suck. Just figure out how to organize your materials in a way that works for you. Maybe get some stackable bins and clearly label them per project. 

3. Deal with the Gotta Do it Now Pile

The paperwork and emails related to projects you're working on right now? Those are most worth your time in creating a system of organization that you can carry on to future projects. Make up file folders (both paper and virtual) for each project you're working on. When the project is complete, get rid of documents in the file that aren't essential to the project. Then you can put the file in a storage bin for that project--or archive folder in your email program.

4. Remove Desk Clutter

How's your desk looking now? A little less...cluttery? Good. Now let's keep it that way. While you've got momentum, take stuff off your desk that doesn't really need to be there.

To help keep unnecessary clutter at bay, you can employ the "one touch rule." Any papers or emails that cross your desk or inbox, do one of three things: chuck it, file it if you must or respond to it.

5. Employ Technology

Cut down on sticky notes! Computers, smartphones and other technology can help keep you on top of project deadlines, so use them!You can sync your computer and phone for easy access to phone numbers, calendars, emails and more. And, you can get pop-up reminders about meetings and deadlines.
